Royston and District Writers' Circle Privacy Policy – May 2018

Royston Writers’ Circle is a small voluntary organisation which seeks to help its members socialise and grow as writers. Personal information is collected for the sole purpose of administering the Circle. This information, collected via a Membership Form (online or paper), will not be shared with third parties without the corresponding member’s explicit consent. Records will not be sold under any circumstances.

The electronic data comprising the collated membership records will be held by the Officers of the Circle in the Circle's MailChimp* account. Officers can access these details through their own logins to the account, which is managed by the Secretary. Data held includes name, address, telephone number, e-mail and whether the annual subscription has been paid.

Where paper copies of the form are used the Circle Secretary will retain a copy. Circle members may view their details at any time. Any member will be removed from the Circle records at their request, or if their membership lapses for >1 year.

In addition to the above, Circle Officers may collect information such as menu choices and allergies in order to organise social events. These records will only be used within the boundaries of such event organisation and will not be recorded permanently.

*Mailchimp are a supplier outside the European Economic Area (EEA), which means that your personal information is transferred, processed and stored outside the EEA. MailChimp is GDPR compliant and their services are covered by the international data protection agreement known as the Privacy Shield.
